Our Policies

This policy ensures that both clients and trainers have clear expectations regarding the booking process, payment, cancellations, and responsibilities, fostering transparency and understanding. By outlining these key details, the policy helps create a smooth and professional training experience, minimizing misunderstandings and ensuring a successful outcome for all parties involved.

Booking Requests

  • All training bookings must be made through our official platform at Instrobook.com.

  • Advance Booking: For optimal trainer availability, we recommend submitting requests at least 14 days in advance.

  • Last-Minute Bookings: If a booking is made within 3 days of the training session, a 15% surcharge will apply to cover the extra effort required to locate a suitable trainer. Availability is not guaranteed for last-minute requests.​

  • When submitting a booking, provide detailed information about the session:

  1. Date and Time

  2. Location (in-person or virtual)

  3. Type of Training (e.g., technical, leadership, soft skills)

  4. Number of Participants

  5. Special Requirements (e.g., equipment, software)

Deposit and Payment Terms

  • Deposit: A deposit is required to confirm the booking.

  • Payment Deadline: Full payment must be made at least 2 days before the session to secure the trainer's time.

  • Payment Methods: Payments can be made securely via credit card, bank transfer, or other approved methods.

  • Invoice: Once your booking is confirmed, you will receive an invoice with payment details. The invoice should be paid within the timeframes specified.

Cancellation Policy

  • More than 48 Hours Before Session: Clients may cancel and receive a 50% refund of their deposit.

  • Within 48 Hours of Session: Cancellations within 48 hours will result in the forfeiture of the deposit.

Convenienee Fee

  • A 15% convenience fee of the total invoice amount will be added to each booking.
    This fee is payable at least 48 hours before the scheduled session. Failure to pay the convenience fee may result in the cancellation of the booking, with applicable cancellation fees.

Training Session Logistics

  • Venue & Equipment: Clients are responsible for providing a suitable environment and all required training materials, tools, and equipment unless otherwise stated by the trainer.

  • Virtual Sessions: If the training is virtual, ensure that all required software and tools (e.g., video conferencing, screen sharing) are available and functioning.

  • Changes to Details: Any changes (location, timing, scope) must be communicated to Instrobook at least 72 hours in advance.

Travel and Accommodation (If Applicable)

  • If the training location is outside the trainer’s home city, the client may be responsible for covering the trainer’s travel and accommodation expenses.

  • Specific requirements will be outlined in the booking agreement.

Liability and Insurance

  • Instrobook and the trainer are not liable for any injuries, damages, or losses that occur during the training session.

  • Clients are responsible for having adequate insurance coverage for the event.

Promotion and Marketing

  • Clients are responsible for promoting the training session and must have written consent from the trainer if using their name, likeness, or materials for promotional purposes.

  • Unauthorized use of the trainer’s intellectual property, including images and promotional materials, is prohibited.

Force Majeure

  • Neither Instrobook nor the artist shall be held responsible for cancellations or performance delays caused by events beyond their control (e.g., natural disasters, acts of war, government restrictions).

Communication

  • Platform Communication: All communication regarding the booking should be made through the Instrobook platform.

  • Direct Contact: Direct contact with the trainer is only permitted after booking confirmation and with the approval of Instrobook.

Dispute Resolution

  • Any disputes arising from the booking agreement will be resolved through negotiation or mediation.

  • If a resolution cannot be reached, the matter may be resolved through arbitration under the applicable laws.

Technical Requirements

  • Clients must ensure that all technical specifications and requirements outlined by the trainer are met for the session to proceed smoothly.
