Our Policies

This policy is designed to provide clear guidelines for all parties involved, ensuring that both clients and service providers fully understand their roles and responsibilities. By establishing these expectations upfront, the policy aims to foster smooth and efficient operations, minimizing misunderstandings and promoting a successful and well-managed experience for everyone involved.

Booking Requests

  • All booking requests must be submitted through our official website: Instrobook.com

  • For best practice, requests should be made at least 14 days in advance of the event to ensure artist/musician availability.

  • To increase the likelihood of securing a musician's availability, we recommend booking well in advance. 

  • Please note that we cannot guarantee the musician/artist availability within this timeframe. 

  • A detailed description of the event (date, time, location, type of event, expected audience size, and technical requirements) is required to process the booking.

Event Booking and Surcharge Policy

  • Please note the following surcharge schedule based on the time of booking:

    • 4 days or more before the event: No surcharge

    • 3 days before the event: 10% surcharge

    • 2 days before the event: 15% surcharge

    • 1 day before the event: 25% surcharge

    • Same day: 30% surcharge​
       

  • ​​Let’s say your event is on March 10:

    • If you book on March 6 (4 days before), no surcharge will apply.

    • If you book on March 7 (3 days before), there will be a 10% surcharge.

    • If you book on March 8 (2 days before), the 15% surcharge will apply.

    • If you book on March 9 (1 day before), there will be a 25% surcharge.

    • If you book on March 10 (same day), a 30% surcharge will apply.
       

  • Important Note for Booking 3 Days Before the Event:

    • If you book 3 days before the event, please note that we cannot guarantee the musician/artist availability within this timeframe.

Deposit and Payment Terms

  • A deposit fee is required to secure the artist/musician.

  • Full payment must be completed at least 2 days before the event date unless otherwise agreed upon in writing.

  • An invoice will be sent after your booking is confirmed by the artist/musician. Payments can be made via credit card, bank transfer, or other approved methods.

Cancellation Policy

  • If the client cancels the booking after booking but before 48 hours of the event, they will receive a 50% refund of their initial deposit.

  • If the client cancels the booking within 48 hours of the event, they will forfeit their initial deposit.

Convenienee Fee

  • A 15% convenience fee of the total invoice amount will be collected from Instrobook for each booking.

  • This convenience fee must be paid at least 48 hours before the event date.

  • Failure to pay the convenience fee within the specified timeframe may result in the cancellation of the booking, with applicable cancellation fees.

Event Logistics

  • Clients are responsible for providing a suitable performance space and meeting all technical requirements specified by the artist.

  • Adequate security, sound, and lighting equipment should be arranged in advance to ensure a smooth performance.

  • Any changes to event details (e.g., location, timing) must be communicated to Instrobook at least 72 hours in advance.

Hospitality and Travel Arrangements

  • Clients may be responsible for providing accommodations and transportation for the artist if the event location is outside the artist's home city.

  • Specific hospitality and travel requirements will be outlined in the booking agreement.

Liability and Insurance

  • Instrobook is not liable for any accidents, injuries, or damages that occur during the event. The client  should have adequate insurance coverage.

  • Artists booked through Instrobook will not be held responsible for any event-related incidents beyond their control.

Promotion and Marketing

  • The client is responsible for promoting the event and must coordinate directly with the artist/musician regarding the use of names, likenesses, and promotional materials.

  • Any use of the artist's/musician's name, likeness, or promotional materials must be agreed upon between the client and the artist/musician. Instrobook is not responsible for any promotional agreements or disputes between these parties.

  • Unauthorized use of the artist's/musician's name or likeness without prior approval from the artist/musician is strictly prohibited.

Force Majeure

  • Neither Instrobook nor the artist shall be held responsible for cancellations or performance delays caused by events beyond their control (e.g., natural disasters, acts of war, government restrictions).

Communication

  • All communication between the clients and the artist should be coordinated through Instrobook.

  • Direct contact with the artist is only permitted after the booking has been confirmed and with the consent of Instrobook.

Dispute Resolution

  • Any disputes arising from the booking agreement will be resolved through negotiation or mediation as a first step.

  • If a resolution cannot be reached, the matter may be settled through arbitration in accordance with applicable laws.

Technical Requirements

  • The client is responsible for ensuring that all technical requirements for the performance are met, as specified in the rider provided by the artist.
